Building a workflow foundation

Make sure your workflow is set up for success.

Before building a workflow in Asana, setting the foundation so your workflow functions appropriately is important. This is the second video in a three-part series. If you missed the first video, What is a workflow? (part 1 of 3), check it out here.

In this video, you'll learn best practices for creating the foundation of your workflows in Asana. You'll also learn best practices for key workflow setup decisions like when to use a project vs. a task, how to use sections, which custom fields to add, and when to use subtasks.

Building blocks of a workflow.

First, familiarize yourself with the building blocks you’ll use for your workflow: Asana’s hierarchy. Projects, tasks, and subtasks are the main building blocks of your workflows.

Organization

Organizations connect all the employees at your company using Asana in a single space based on your company's shared email domain.

Teams

Within the Organization, you and your colleagues split into teams to collaborate on your projects and tasks.  Every user in your organization is part of at least one team but can be part of multiple teams.

Projects

Projects allow you to organize all of the tasks related to a specific initiative, goal, or big piece of work. Within projects, you’ll use sections to organize your tasks.

Tasks

Tasks are the basic unit of action in Asana. 

Subtasks

Use subtasks to break up a task into smaller parts or to help divide the work among multiple people.

Comments

Comment on a task to ask questions, provide extra information, or offer insights.

  2. How to use sections
  3. Which custom fields to add
  4. When to use subtasks
  5. One project or multiple?
